The position of Church Secretary/Administrative Assistant is a part-time, hourly position (Monday through Friday) between the hours of 9:00 a.m. to 2:00 p.m. (this is also negotiable) under the direction and accountable to the Priest. The position serves as a Secretary/Administrative Assistant to the Priest and for the Church and Her Ministries. The Secretary/Administrative Assistant is on the frontlines and is often the first person the public sees or talks to. The person in this position performs high level secretarial, clerical, office management, and general administrative duties.
Brief OUTLINE of Duties and Responsibilities:
1. MAINTAIN PETTY CASH.
2. MAINTAIN MASTER CALENDAR.
3. OPEN, DATE, AND SORT INCOMING MAIL.
4. RECEIVES VISITORS TO OFFICE AND RESPONDS TO NEEDS.
5. HANDLES THE TELEPHONE AND ANSWERING MACHINE.
6. INVENTORY CONTROL FOR OFFICE SUPPLIES. Provides an uninterrupted support of total church office operations. Orders supplies as needed.
7. SUPERVISION OF VOLUNTEER OFFICE HELP. Includes recruiting, scheduling, training, and work review.
8. PREPARATION OF THE ANNUAL REPORT. Responsible for setting reasonable deadlines for acquiring reports from the commissions, typing the information received, editing, formatting, proofreading, copying and assembly of reports.
9. MAINTENANCE OF BULLETIN BOARDS. To maintain orderly bulletin boards with current information.
10. PRINTED MATERIALS: As necessary, update any printed materials so that information is accurate and current (i.e., The Myrrh-Bearer and Weekly Announcement Program, etc.).
