Position: Patent Secretaries

Job Description:

HRM Group is searching for 3 Patent Secretaries for our client, an Intellectual Law firm inWashington, DC. This is a direct hire position which pays $55,000 - $80,000 depending upon experience.

Responsibilities include:

Provide secretarial support to assigned attorneys and/or assigned professionals within the Intellectual Property practice group.
Type correspondence, memoranda and project work using Word software ensuring quality of final documents.
Input attorney time records using timesheet software system.
Consolidate, edit and total time ensuring accuracy of input.
Transcribe tapes and/or handwritten materials in the daily production of documents.
Edit and finalize documents, copy and distribute to clients, attorneys and staff.
Edit detailed billing reports as directed with assistance from the Accounting Department where appropriate, prepare initial and/or final client bills for attorney review.
Receive, screen, and transmit telephone and conference calls and messages to attorneys. Assist callers as necessary.
Handle incoming and outgoing mail, sort, organize and distribute as necessary. Handle incoming and outgoing electronic mail messages; communicate messages as appropriate.
Set up and maintain files, prepare inventories of retired files, designate disposition to storage as appropriate.
Coordinate conferences, meetings and appointments for attorneys and clients including conference room scheduling, meals and preparation of materials.
Coordinate travel arrangements securing air, hotel and car plans.
Prepare client/firm chargebacks when utilizing various administrative services.
Send and receive facsimile transmissions from own PC or through Fax Department.
Perform a variety of secretarial functions including processing new client/matter reports, expense reports, mass mailings, as directed. Photocopy documents and correspondence; send larger projects to Copy Center as necessary.
Greet clients/visitors in a professional and courteous manner.
QUALIFICATIONS:

Must be specifically listed on resume in order to be considered for this position

· High school diploma or GED required

· 5 years minimum Patent Legal Secretary experience required

· Word and Excel experience required

Additional Qualifications:

Knowledge and understanding of broad range of secretarial procedures, English grammar and spelling and legal terminology.
Ability to solve problems by gathering facts and applying general procedures.
Oral and/or written communication skills to convey understanding.
Ability to transcribe dictation utilizing dictaphone tape or shorthand.
Ability to prioritize and manage multiple tasks and projects simultaneously.
Ability to interact and function as part of a team to foster smooth efficient processing of workflow.
Must pass typing test of 65wpm minimum upon interview with 90% accuracy.
