Position: Shipping Coordinator

Job Description:

Purpose:
Position ensures timely and accurate shipments and transfers for DC&E West Coast Distribution Center meeting all CARM and Global Risk requirements. Position is responsible for developing processes and procedures to continually improve the smooth flow of shipments from three buildings.

Complexity of Role:
Position has daily interaction with external transportation companies, external truck drivers, Distributors, Customer Service Representatives, Inventory Management, and Warehouse personnel regarding shipment and inventory information.

Decision Making:
1. Uses judgment to raise issues to management for resolution when resolving SAP inventory issues in order to process Bill of Ladings or drop orders for the Warehouse.
2. Position is required to contact 3rd party logistics carriers and obtain quotes to determine appropriate carrier based on expected delivery timing, maintaining of our quality standards as well as pricing for some sample shipments.

Key Outputs/Deliverables:
· Enter and process all daily shipments timely and accurately including validation of: materials, batches, container numbers, seal numbers and billing for pallets when appropriate
· Develop and maintain log of seal numbers assigned to each shipment per guidelines established by Global Risk Management.
· Prepare pick notes for finished case goods to be staged and shipped
· Scheduling of outbound shipments and plant transfers, contacting appropriate transportation companies within 1 business day of the delivery creation date.
· Interact with Customer Service Coordinator and Samples Shipment Coordinator to ensure that all sample delivery notes are forwarded for processing within one hour of creation.
· Providing driver notification to internal Warehouse D drivers regarding external driver arrival as well as coordination of Warehouse D check out process.
· Proactively communicating with Customer Service Department about any scheduling or shipment issues. Publish a daily list of missed appointments to Customer Service during peak season.
· Accurately maintain driver logs adhering to all CARM requirements which includes validation of driver identification as well as obtaining and maintaining all necessary signatures and documentation.
· Provide shipping appointment schedules as well as shipping tracking information to management
· Provide Back up for the Receptionist role as needed including invoice processing, distribution of mail, and maintaining Distribution Driver tracking data.

Experience:
· Minimum 6 months experience and/or training or equivalent combination of education and experience related to distribution, operations and/or customer service processes.
· Computer literate - Beginning Word, Excel, Outlook, or the proven ability to quickly learn these skills
· SAP Order to Cash experience a plus
· Strong English, verbal and written communication skills
· Must be detail oriented with excellent organizational skills
· Ability to work quickly and accurately under pressure
· Experience in researching and interpreting information
· Accurate and quick data entry, ten key by touch
· Must be willing to work flexible hours and overtime as required.
