Job Description:
Summary
The Human Resources Assistant is responsible for the administration, update and maintenance of the HRIS system, associate employment files and department invoice process. This position also supports the HR management team with worker's compensation claims management, leaves of absence tracking and general administrative support.
The Human Resources Assistant, as with all members of the Shea Properties Team, is expected to conduct his/her in a manner which demonstrates initiative, professionalism, personal awareness, integrity and exercise confidentiality in the appropriate areas of him/her performance.
Duties
Maintains pre-employment background investigations including, criminal background reports, drug test & employment verifications & references in separate filing system, in compliance with employer's "right to privacy act."
Collects all new hire paperwork and set up all new hire employee files. Ensures all appropriate documentation has been completed and signed.
Processes all new hires through the online I-9 pilot program, in accordance with Federal regulations.
Input all new hire information and employee changes into the HRIS database including name, address, phone number, promotions, change in pay/title etc. Files, maintains & periodically audits documentation in employee files.
Conducts periodic file audits to ensure legal compliance.
Prepares all Human Resources Department billings and codes all invoices to appropriate cost center. Maintains & tracks P&L monthly statements and compares to Human Resources Department budgets.
Supports and maintains worker's compensation claims file, documentation and general correspondence.
Coordinates unemployment claim inquiries and responses to EDD with outside vendor.
Prepares Cobra benefit notification and serves as liaison with corporate benefits department.
Maintains and manages employee gas card distribution, policy acknowledgments and collection upon termination. Provides corporate payroll the fuel, oil and gas individual allocations.
Produces human resources related reports from HRIS and payroll database for monthly and quarterly HR metrics calculations.
Provides administrative support to Human Resources Management Team including: HR correspondence, prepares and audits expense reports for the department, coordinates travel, phone coverage and general filing.
Supports Recruitment Team with candidate background process and employment references as needed.
Knowledge and Experience
High School Diploma plus 3-5 years human resources support experience required. College degree preferred.
General understanding and knowledge of California Labor, Wage & Hour Law & compliance requirements.
Effective written and oral communication skills.
Exceptional customer service.
Manage projects through planning, organizing and coordinating tasks.
Some analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems.
Time management and organizations skills. Strong attention to detail.
Computer proficient in Microsoft Office products (Word/Excel/Outlook) and HRIS software.
