As the first touch point for your department, you'll greet visitors and assist them as needed. You'll answer phones, take and relay messages, maintain personnel records as requested, and organize meetings, from scheduling to notification. Where applicable, you'll field routine questions and offer resolutions. You'll manage and maintain the department's filing system. You'll make travel arrangements using corporate travel resources. And you'll maintain inventory, ordering supplies, completing required paperwork, and monitoring the budget.
Using a variety of software, you'll prepare memos, reports, standard correspondence, meeting minutes, presentations, and other documents as needed. You should be proficient in most Microsoft office applications, including Word, PowerPoint, Excel and Lotus Notes.
Position Qualifications:
- H.S. diploma or GED; AA degree or business school certificate preferred.
- Minimum of two years' administrative experience supporting a medium to large department; corporate secretarial experience preferred.
- Strong technical skills including advanced Excel, Access, Word, and PowerPoint.
- Strong organizational skills with demonstrated ability to handle multiple priorities while maintaining strong attention to detail.
- Excellent telephone manner and communication skills.
- Ability to work independently, maintain confidentiality.
- Some overtime may be required.
