Executive Assistant
Our client is an award-winning, full-service boutique agency. The agency has experienced impressive growth since it’s founding in 2001. As the Office Administrator at our client, you will interact with the staff, agency clients and vendors, and work closely with the agency’s management team. The ideal candidate will be confident and proactive with 3-5 years experience.
Responsibilities:
Reception
Be the first line of contact for clients, vendors and others contacting or visiting the agency
Organize mail
Office management
Oversee office equipment, including copier, fax, telephones, computers
Maintain office supply inventories
Function as liaison with building personnel
Archives/database administration
Maintain and manage mailing lists and organize mass mailing
Executive assistance
Make travel arrangements
Make meeting arrangements
Event planning
Prepare responses to routine inquiries
Communicate to employees any new policies or procedures
Keep personnel manuals up to date
Prepare courier, DHL and FedEx packages
Other
May perform special projects as needed such as market research
Attend meetings as required, including taking notes or minutes
Qualifications:
Able to handle multiple tasks simultaneously and follow procedures as outlined
Possess excellent command of written and spoken English
Possess excellent organizational skills
Be proficient in office software including: MS Word, Excel, PowerPoint, Internet and e-mail
Ability to prioritize workload and work independently
Strong telephone etiquette and an eye for detail
Reliability and meticulousness are mandatory
