Job Title SECRETARY III
External Job Description Provide Administrative support to managers and employees within the R&D IP organization. Make travel arrangements. Complete expense reports from source documents, assuring necessary documentation is available and appropriate account numbers are used. Will be required to make international travel arrangements. Process and manage invoices. Research issues; independently access files, records or databases to gather facts and information, provide timely assessment of situations. Assist in the preparation and management of budgets. Assist in the management of the IP intranet site. Use standard computer applications to compile data. Break work into process steps and establish follow-up procedures. Plan and use tools to accomplish assigned activities, tasks and projects. Establish priorities to handle competing demands with a timely manner. Identify and secure resources and monitor progress to ensure that project deadlines are met and results achieved. Obtain feedback on results. Clarify to ensure that the message is being accurately understood. Produce written communication that is accurate, clear and concise. Distribute background information prior to meeting/conferences; and keep all parties informed of any updates or changes regarding events. Performance all other work task or assignments as requested. Results and services should be timely, accurate, cost effective, and consistent with user of functional requirements. Comply with all existing quality policies and procedure, recommend process improvements and metrics to monitor and continually improve quality. Clarify details of task, and complete all details. Cooperate with others on a timely and professional basis. Maintain strict confidentiality of Hospira documentation and information.
Skills/Experience Education/Certification Bachelor's Degree is preferred. Must have demonstrated experience using inter-personal, project & data management, organization/prioritization of work flow competencies in a fast-paced/dynamic area; attention to detail is essential & sensitivity to confidential information required. Requires a high school diploma with 2-4 years of business/administrative experience in the field or in a related area. Proficient in utilizing MS Office suite; high level of skill in PowerPoint especially preferred. Familiar with standard concepts, practices, and procedures within a particular field. Relies on experience and judgment to plan and accomplish goals. Performs a variety of tasks. Works under general supervision. A certain degree of creativity and latitude is required. Experience with working for a lawyer, particularly in relation to patents and/or litigation, is strongly preferred.
