TheAED Center for Health Communication (CHC ) plans and develops science-based national, regional and local social marketing and health communication programs, and provides program support to clients including the Centers for Disease Control and Prevention (CDC), the National Institutes of Health, private associations and foundations. CHC staff members work on health issues and projects including obesity prevention, immunization, coordinated school health, media literacy and continuing education for health professionals. CHC has recently been awarded a large communications support contract for the National Institute of Child Health and Human Development (NICHD).
Under the direct supervision of the Senior Communication Program Manager, and working with a team of CHC staff, the Program Associate's responsibilities will include, but will not be limited to providing programmatic and administrative support for Center activites, with a special focus on the NCIHD Communication Support Services Contract.
Essential Job Functions :
• Maintain Project information systems for tracking programmatic, business development and finance activities;
• Assist with the management of the Project's administrative, operational, and financial systems;
• Coordinate the procurement of equipment and services; and the communication with clients, collaborators and other external clients;
• Assist with the preparation and monitoring of contractual documents, including consultant agreements, subcontract agreements, contract and agreement extensions, carry over requests, staffing notifications and changes, and other recruiting documents,
• Provide support with project research and data collection efforts;
• Coordinate project’s activities such as meetings, program outreach, or other business;
• Support communication with project staff, client and partnering organizations' staff;
• Facilitate the preparation and production of project reports, presentations and other documents;
• Coordinate conference and workshop preparation;
• Arrange travel for project staff and consultants to include: processing travel advance, submitting and tracking expense reimbursements;
• Assist technical staff with other administrative tasks as assigned;
• Perform a variety of administrative duties including word processing, drafting routine correspondence, monitoring fax receipt and transmission, mail and express-mail and photocopying.

Education : Bachelors required or equivalent combination of education and work experience.
Experience : 3 year(s) of relevant experience required
Specific Knowledge Requirements : Experience with business/non-profit environment required; Experience with administrative and program support; Financial and budgeting skills extremely helpful.
Skills : Excellent organizational skills and demonstrated ability to manage details in a fast paced environment;
Strong verbal and written communication capability;
Strong interpersonal skills with the ability to work effectively with a wide range of individuals;
Expertise in word-processing (MS Word) Excel, and PowerPoint required;
Experience with, or willingness to learn HTML coding and using web development application software such as Dreamweaver, Frontpage, etc.
