Explanation Statement



Phoenix International, a John Deere Company in Fargo, ND, is seeking a Sales Coordinator to act as the primary customer contact for receipt, review, and maintenance of customer purchase orders, as well as forecast and ship schedules, and assist in preparation of quotations and correspondence. In this position, you will:

Work closely with and provide support to the Program Manager(s) and Product Manager(s) in customer team meetings throughout the development and production life of product(s) and act as a backup contact for internal and external customers if necessary.
Develop strong partner relationships with customers and be highly engaged with customer day-to-day activities. Those activities include: obtaining/managing forecasts for future requirements, accepting/adjusting orders, coordinating returnable tote requirements to fulfill scheduled production orders, and monitoring the Achieving Excellence Program to insure the information directly and accurately reflects Phoenix’s delivery performance.
Receive, review, and coordinate purchase orders for manufacturing activities, as well as enter and maintain purchase orders within database and acknowledge purchase order confirmation.
Ensure timely handling of incoming and outgoing communications, particularly telephone calls, fax messages, and E-mail.
Enter and maintain the daily ship schedule based on the customer schedule and review the schedule with manufacturing, purchasing, quality, and shipping.
Review forecasts with Production Control to insure demand and capacity requirements are updated.
Communicate changes or lead-time conflicts when necessary and react with appropriate actions (i.e. scheduling escalation meetings, working with production control to reschedule work orders, monitor work orders thru production process, etc.)
Work with production, manufacturing, quality and purchasing to resolve production build issues and communicate to customers as appropriate.
Work together with the shipping department to determine shipping methods for customers.
Ensure that internal OTD (On Time Delivery) tracking measurements are accurate.
Implement changes resulting from customer survey feedback.
Assist with customer visits as necessary.
Process, print and distribute sales reports as required.
Provide general clerical support and other tasks as assigned.



Education

Associates degree or equivalent experience.
Required Skills and Experience

Strong organizational skills and multi-taking abilities.
High level of proficiency with personal computers, including experience with word processing, spreadsheets, and database packages (Microsoft Word, Excel, Project and Access preferred).
Strong written and verbal communication skills, including experience with external contacts.
Strong numerical aptitude.
Desired Skills and Experience

Experience with MRP (Materials Requirements Planning) systems, especially order entry and invoicing.
