Explanation Statement
John Deere Phoenix International is seeking an Administrative Assistant to perform and coordinate administrative functions in support of the Executive Assistant, Vice President of Engineering, and the engineering technical managers by providing problem resolution, meeting coordination, research and reporting functions, data input and document processing, travel coordination, calendar coordination, and other duties as assigned. In this position, you will:
Directly assist the Executive Assistant with administrative functions including events coordination, policy creation/maintenance and implementation, and other duties as assigned including filing, scanning, faxing, and other handling of corporate documents.
Provide assistance to VP of Engineering and engineering managers through monthly reporting duties, organizational chart maintenance, PowerPoint assistance, meeting calendar maintenance, departmental newsletter, and other duties as assigned.
Process employee travel requests to secure information, approval and arrangements for timely, cost effective travel.
Serve as Phoenix’s primary point of contact for International Travel Services including pre-travel interview and follow-up with travelers to ensure compliance with Enterprise policies and procedures.
Coordination of on- and off-site meeting requests including resolution of Outlook Conference room scheduling overlaps.
Support front desk receptionist group as a back-up for lunches, breaks, and vacations; provide training and assistance as needed.
Maintain executive storage and engineering storage rooms. Provide monthly 5-S audits for Administration Group including lunchrooms, lunch counters, conference rooms, and front desk areas.
Provide general support including assistance with patent processing, patent recognition, “PIC Bucks” program administration, and P.O. and E.S.O. processing.
Maintain on-line resources through SharePoint and network maintenance.
Assist with coordination of community tours and scheduling tour guides.
Education
2 Years post-secondary clerical/administrative training or equivalent experience.
Required Skills and Experience
Administrative experience, specifically scheduling meetings, creating/maintaining files, data entry, and making travel arrangements.
Experience interfacing with the public, both in person and by telephone.
Proven self-starter and organized individual, capable of working independently.
Proficient with Microsoft Office Suite including PowerPoint, Word 6.0, Excel (charting, graphics, etc) Visio 2003, and Publisher. Experience with SharePoint preferred.
Strong communication skills, both written and verbal.
High accuracy data entry skills.
Ability to seek out and gather data from appropriate sources in order to complete assignments.
Experience working with confidential information (capable of handling private information with sensitivity and tact).
Ability to multi-task and prioritize work load in order to meet deadlines and ensure customer needs are met.
Experience handling general office equipment (i.e. fax, typewriter, copier, postage machine).
Desired Skills and Experience
Proven ability and experience with organizing and maintaining a wide-variety of data and files for the various areas assigned; proven problem-solving and multi-tasking skills.
