Overview : The Administrative Assistant is responsible for providing administrative and clerical support to the Manufacturing & Distribution and Quality Assurance departments of Medicis Pharmaceutical Corp. This position will assist directors and managers with diverse administrative tasks and projects and will also act as part of a team to successfully accomplish department objectives. Responsibilities : Perform general clerical and support duties - typing, proof-reading, faxing and copying Screen and manage email, field telephone calls and messages; follow-up as appropriate Open, screen and prioritize mail and interoffice correspondence Draft correspondence, letters, memos and various communications Perform data entry to support Product Stability Program Verify entries by Customer Service in the Customer Complaint data base Support the maintenance and organization of QA Central Files Prepare meeting schedules and travel arrangements; schedule itineraries and coordinate mailings Process purchase orders and prepare expense reports Compile raw data and create basic reports Make changes and updates to PowerPoint presentations Coordinate internal department requests Maintain familiarity with projects, contacts and information Undertake special projects with minimal supervision Responsible for the security and confidentiality of all information and documents Qualifications : High school diploma; at least one year of college-level education is preferred Experience (2-3 years) working as an administrative assistant in a corporate environment PC proficiency to include MS Word, Excel, PowerPoint and email systems (MS Outlook) Excellent spelling, writing, and speaking skills
