Position : Program Support Specialist

Description :

FUNCTION/POSITION SUMMARY:

The Program Support Specialist works with the NCTSTA capacity building team to ensure the timely coordination and delivery of training and technical assistance to a national network of minority-serving community and faith-based organizations (C/FBO) that provide HIV/AIDS prevention services to their communities. The Program Support Specialist is the lead resource person for the NCTSTA and often serves as a first point of contact with client organizations and individuals seeking information and resources. This individual supports the capacity building specialists and the logistics specialist as needed.

PRIMARY DUTIES/RESPONSIBILITIES:

1. Manage NCTSTA's national consultant pool
* Lead targeted outreach and recruitment efforts to identify and secure new consultants
* Maintain updated consultant information packets which reflect NCTSTA's consultant requirements, guidelines, and protocols for practice
* Correspond with consultants and respond to requests, as appropriate.
* Maintain consultant listserv and send trimester mailings on relevant HIV/OD literature to consultants
* Coordinate consultant orientation and continuing education sessions, including taking the lead on site selection, researching various hotel packages, coordinating audio visuals, selecting appropriate menus, compiling appropriate materials for binders, formatting evaluation tools, and other administrative tasks necessary for the successful completion of the training.

2. Coordinate program-related meetings and public relations activities for the NCTSTA
* Coordinate meetings for the Capacity Building Assistance Consumer Advisory Group (CBA CAG).
* Organize, disseminate and collect relevant correspondence for the AIDS materials review committee
* Coordinate exhibitor activity for PROCEED NCTSTA at local, regional, and national events
* Facilitate communication between Agency, Consultants and other Network members to disseminate information on program activities and services.
* Represent PROCEED NCTSTA at regional and national meetings, conferences etc. as appropriate
* Responsible for providing support to staff in planning and executing program related activities including but not limited to logistics, printing, overheads, power point presentations, preparation of materials and supplies, etc.

3. Manage the Individual Capacity Building Assistance (ICBA) and Training Databases
* Responsible for data entry, upkeep and maintenance of databases (mailing lists, membership, electronic communication, fax lists) including periodic update forms, reports, addresses changes, importing/exporting data, mailing labels and rosters, etc.

4. Adhere to the program philosophy, approaches, policies and practices of PROCEED NCTSTA.
* Learn about PROCEED's mission, vision, and guiding principles and diverse programs and services.
* Maintain accurate and complete documentation of all NCTSTA resources and information transfers
* Comply with PROCEED's confidentiality policy, both internally and with external client organizations.
* Comply with the staff policies and procedures outlined in the staff handbook
* Maintain on-going professional development and current knowledge on trends in program development and/or organizational infrastructure, HIV/AIDS and other related subjects.
* Participate in staff development training and meetings.

5. Other
* Responsible for sorting, filing and routing incoming mail related to PROCEED's Capacity Building Assistance Program following PROCEED's established protocols.
* Responsible for maintaining a master calendar and an accurate account of staff meetings, trainings, other travel commitments and members activities.
* Manage special projects and perform other duties as assigned by the Director/Assistant in order to support the mission, goals and objectives of the program.

Qualifications:
* Bachelors Degree plus a minimum of three years of experience in office management or program coordination. Associates degree plus a minimum of 6 years experience
* Knowledge in data base development and maintenance is critical.
* Knowledge of Windows, Access, Excel and word processing software/ Internet literacy required.
* Excellent oral and written communication skills

Additional Requirements:
* Must demonstrate a strong commitment to team work among staff.
* Must be able to work under pressure, handling several projects with minimal supervision from inception to completion while meeting set deadlines.
* Bilingual English/Spanish preferred.
* Travel throughout the United States, Puerto Rico and the US Virgin Islands, including weekends and evenings (estimated 20% of the time).

Salary: Commensurate with education and experience.
